Privacy Policy

Stephan Cook Fitness LLC (“we,” “us,” or “our”) operates stephancookfitness.com and the coaching services offered through it. This policy explains what information we collect, how we use it, and the choices you have. It applies to visitors to our site, applicants for coaching, and enrolled clients using our dashboard.

Information we collect

Account information. When you create a dashboard account, we collect your name, email address, and a securely hashed password. We do not store your password in plain text and cannot recover it — only reset it.

Session information. To keep you securely signed in, we record login sessions, including your IP address and browser/device (user-agent) string, tied to your account.

Coaching applications. If you apply for online coaching, in-person training, or program access, we collect what you submit on that form — typically your name, email, phone number, goals, training experience, and availability. This is sent directly to your coach to follow up with you; it is not entered into our database automatically.

Program activity. Once enrolled, we record which workout days you’ve completed and when, so your dashboard can show your progress.

Exercise logs and notes. If you log a weight, rep count, or other performance value against an exercise, or leave yourself a note on a program day, we store what you enter, along with a history of changes. These are free-text fields — please avoid including sensitive medical details you wouldn’t want retained in writing; discuss health conditions with your coach directly instead.

Waiver and agreement records. If you sign a liability waiver or coaching agreement with us, we retain an electronic record of it — including your name and the date and time you signed — and will provide you a copy on request.

How we use this information

We use the information above to: provide and secure your dashboard account; deliver coaching, programming, and progress tracking; respond to coaching applications; send account-related email (password resets, weekly progress recaps you haven’t opted out of, and occasional coach updates); and improve the programs and content we offer. We do not sell your information, and we do not use it for advertising.

Who we share it with

We use a small number of service providers to run this site, each of whom processes data on our behalf and under their own privacy and security commitments:

• Vercel — hosts the website and application.
• Neon — hosts our database (Postgres).
• Resend — sends transactional and coaching-related email on our behalf.
• Stripe — processes payment for Program Access subscriptions purchased through this site. We never see or store your full card number; Stripe handles that directly.
• Cloudflare — stores exercise-demonstration video content shown in the dashboard.
• YouTube (Google) — some exercise-demonstration clips link out to unlisted videos hosted on YouTube for visual reference; we do not embed a YouTube player in the dashboard, so this only applies if you choose to follow one of those links.

Program Access subscriptions purchased through this site are processed by Stripe. In-Person Training and Online Coaching fees are arranged directly with your coach and are not processed through this site.

We do not use analytics, advertising, or tracking cookies. The only cookies this site sets are functional session cookies required to keep you signed in.

Data retention

We keep account and program data for as long as your account is active, and waiver/agreement records for as long as required to support them if a question ever arises about your coaching relationship with us. You can request deletion of your account at any time — see below.

Your rights

You can ask us to access, correct, or delete the personal information we hold about you, or to export it, by contacting us at the email below. We’ll respond within a reasonable time and may need to verify your identity first.

Children’s privacy

This website and dashboard are for users 18 and older, and we do not knowingly collect personal information from anyone under 18 through them. If you believe a minor has created an account, contact us and we will remove it.

Changes to this policy

We may update this policy as our services change. We’ll update the effective date above when we do, and post material changes here before they take effect.
